The Wedding CMO Privacy Policy

Last modified: October 28, 2026.

This Privacy Policy (“Policy”) describes how The Wedding CMO, LLC (“Company,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with The Wedding CMO platform, its website, and related services (collectively, the “Service”).

1. Scope and Roles

This Policy applies to information we collect from website visitors, prospective customers, subscribers, account users, and persons who communicate directly with us. Subscribers may also upload photographs and other Customer Content concerning their own clients, wedding participants, guests, employees, vendors, photographers, or other individuals.

For Customer Content, our subscriber generally determines what is uploaded and the purposes for which it is processed. We separately act for our own business purposes with respect to account administration, billing, security, legal compliance, and similar operational information.

2. Information We Collect

2.1 Account and Contact Information

Names, business names, email addresses, telephone numbers, mailing addresses, account identifiers, login information, professional category, business website, and similar information.

2.2 Subscription and Transaction Information

Subscription plan, usage counts, purchases, invoices, payment status, transaction history, cancellation information, and related records. Payment-card information may be collected directly by a payment processor rather than stored by Company.

2.3 Customer Content

Photographs, videos, logos, business information, marketing copy, brand information, prompts, instructions, campaign information, files, and other material a subscriber submits. Photographs and files may contain information about people depicted in them. Before upload, the Service removes embedded photo metadata other than authorship and rights information, including GPS and other location fields, camera serial numbers, the camera owner’s name, captions, keywords, and dates, as described in Section 13.6 of the Terms. During account setup, the Service may crop a profile image, which may show the subscriber’s face or logo, from a screenshot of the subscriber’s own social-media page for display in previews.

2.4 Photographer and Rights Information

Photographer names, business names, usernames, copyright attribution information, rights certifications, licensing information voluntarily supplied by subscribers, and information used to identify the source of photographs.

2.5 Connected Account Information

If a subscriber connects a social-media, advertising, email, or other third-party account, we may receive account identifiers, authorization tokens, permissions, profile information, posting information, and similar data made available by that provider to perform functions requested by the subscriber.

2.5A Google user data (Google Search Console)

If you choose to connect Google Search Console from your account, The Wedding CMO asks Google for one permission, read-only access to your Search Console data (https://www.googleapis.com/auth/webmasters.readonly). Google shows it on its consent screen as "View Search Console data for your verified sites." We never ask for permission to change anything in Search Console.

What we access. The list of Search Console properties your Google account can see, and, for the one website you choose, its Google Search performance over the past 28 days by search query: the searches, clicks, impressions, click-through rate and average position.

How we use it. Only to show you, in your own account, what people searched on Google before finding your website, so you can see how your site and the posts we write for you are being found. We don't use it for any other purpose.

What we store. We store the access and refresh tokens Google gives us, encrypted, plus the website you chose and when you connected. We don't store your search figures: we fetch them from Google when you open the page and show them to you.

What we never do. We don't sell Google user data, share it with other customers, or transfer it to anyone, except as needed to provide the feature you asked for, for security, or to comply with the law. If The Wedding CMO is part of a merger, acquisition or sale of assets, we'll transfer it only after asking you first and getting your okay. We don't use it for advertising or to decide creditworthiness. We don't send it to AI providers or use it to train or improve any AI or machine learning model. No one at The Wedding CMO reads it unless you ask us to (for example, when you ask for help), or it's needed for security or to comply with the law.

How to remove access. Press Disconnect on the same page in your account at any time; we revoke our access at Google and delete the stored tokens immediately. You can also remove The Wedding CMO at https://myaccount.google.com/permissions; we delete the stored tokens the next time we try to use them and Google tells us access has ended. To have them deleted sooner, or to ask any question about this data, email support@theweddingcmo.com.

Google's policy. The Wedding CMO's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Where anything elsewhere in this Privacy Policy says otherwise, this section controls Google user data.

2.6 Usage, Device, and Log Information

IP address, browser and device information, operating system, pages and features used, timestamps, referring pages, approximate location derived from IP address, diagnostic information, and security logs.

2.7 Cookies and Similar Technologies

We may use cookies, pixels, local storage, SDKs, or similar technologies for authentication, security, preferences, analytics, functionality and marketing. Company's marketing website uses analytics and advertising technologies, including the Meta (Facebook) advertising pixel, which may collect information about visits to the website.

If you arrive through a link from one of our referral partners, our referral service, Rewardful, sets a cookie that records which partner referred you, so that we can credit that partner if you sign up or pay. We keep that partner's referral identifier with your account for the same purpose. We do not sell this information or use it to show you ads.

2.8 Communications

Information contained in support requests, emails, surveys, feedback, copyright complaints, privacy requests, and other communications with us.

2.9 Voice Recordings

Some features let a subscriber answer by speaking. The recording is sent to a speech-to-text provider acting on our behalf (currently Groq and Deepgram), which returns a transcript. Company does not store the audio: once it is transcribed, the recording is discarded. Company keeps the transcript and technical details about the recording, such as its length, its size, and how it ended. Company requests that Deepgram not use recordings to improve its models.

2.10 Website and Vendor Information

If a subscriber provides a business website, the Service reads publicly available pages of that website, such as the home, about, services, contact, and recent blog pages, without reading any page the site’s robots.txt file closes to automated readers. Company stores the text of those pages, the links and social-media accounts they show, and facts and sentences taken from them, to describe the subscriber’s business. When a subscriber lists the vendors who worked on a wedding, the Service may look for those vendors’ websites and social-media accounts using publicly available search results obtained through DataForSEO, and may read pages of the websites it finds. Company stores the searches made, the results considered, and any website, social-media account, or business email address a vendor publishes that the Service finds, for the subscriber to confirm. Information found this way is not used in Output until the subscriber confirms it.

3. How We Use Information

4. Artificial Intelligence Processing

Some features of the Service may use artificial intelligence and machine-learning technologies (“AI Features”) to process Customer Content and generate requested marketing materials. When you use AI Features, your Customer Content may be processed by AI models operated by us or by a third-party AI service provider.

We do not intentionally authorize Customer Content to be used to train generalized AI models for unrelated customers or third parties unless the Customer separately affirmatively opts in. To the extent you affirmatively opt-in, we may also use Customer Content to train and improve our AI models, after taking steps designed to de-identify the information.

The Service does not use facial recognition, does not identify or attempt to identify individuals depicted in photographs, and does not create biometric identifiers, face geometry, or biometric templates. The Service’s AI features describe the visual contents of photographs, which may include general descriptions of people depicted, in order to write marketing text, and are instructed never to name or identify any person. AI providers receive reduced-resolution copies of photographs and return only text.

5. How We Disclose Information

We may disclose your Personal Information to third parties to the following categories of entities:

6. Customer Content Concerning Other People

Subscribers may upload information about people who do not have accounts with us, including individuals appearing in wedding photographs. The subscriber is responsible for determining whether it possesses the rights, permissions, releases, notices, or other authority necessary to upload and use that information in accordance with our Terms of Service.

If an individual appears in Customer Content and wishes to exercise a legally applicable right concerning that material, the individual may contact the subscriber that uploaded the material or contact us at support@theweddingcmo.com. Where appropriate, we will coordinate with the applicable subscriber and remove or restrict access as required by law.

7. Data Security and Retention

We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, security risks are inherent in all internet and information technologies, and we cannot guarantee the absolute security of your Personal Information. Your submission of any Personal Information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures.

We will retain information for as long as reasonably necessary to fulfill the purposes for which it was collected, including providing the Service, maintaining business and financial records, resolving disputes, enforcing agreements, meeting legal obligations, preventing abuse, and maintaining appropriate backup systems. When a paid subscription ends, the account and its Customer Content are kept in a dormant state until the subscriber rejoins, deletes the account, or asks Company to delete it. For an account on a free plan that has not become a paid subscription, photographs are removed 60 days after the wedding they belong to was added to the Service, or, for photographs not added to a wedding, 60 days after upload, and in either case not before February 9, 2027. The subscriber is emailed before photographs are removed, and the account, its brand information, and its written marketing materials remain. Customer Content associated with a deleted account will ordinarily be deleted or de-identified under our retention procedures, subject to limited backup retention and legal requirements.

To determine the appropriate retention period for your information, we consider the amount, nature, and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure of your information, the purposes for which we process your information and whether we can achieve those purposes through other means, and the applicable legal requirements.

9. Do Not Track

We do not currently respond to browser “Do Not Track” signals because no common standard exists.

10. California Shine the Light Law

Under California law, California residents have the right to request in writing from businesses with whom they have an established business relationship certain information pertaining to third parties to which the business discloses personal information for marketing purposes. We do not sell Personal Information collected on our Site to third parties for their direct marketing purposes. 11. Children

The Service is not directed at individuals under thirteen (13) years of age, and Company does not knowingly collect any Personal Information directly from anyone under the age of sixteen (16). Photographs or information about minors (such as flower girls or ring bearers) should be uploaded only by a parent or guardian or with their consent.

The Service may contain links to other websites or may be linked from other websites or social media platforms. We may also partner with third parties that may use technologies such as cookies, widgets, and links to gather information about users on our Service. We do not have control over third-party websites or social media platforms, and any third-party website’s privacy practices are not governed by this Policy. Any time you leave our Service for a third-party website or social media platform, or interact with a third-party link or other technology, you should exercise caution and review the privacy statement applicable to such websites to learn more.

13. United States Use Only

The Service is intended solely for use by individuals and businesses located in the United States, and we do not direct the Services to, or intend to collect personal information from, individuals located outside of the United States. If you access the Service from outside the United States, you do so at your own initiative and are responsible for compliance with local laws, and you understand that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.

14. Changes to This Policy

We reserve the right to make any changes, modifications, additions, or deletions to this Policy at any time. If a change materially affects how we process personal information or other privacy practices, we will provide notice and obtain consent where required by applicable law.
